Electronic Equipment Disposal Policy

Rationale
This policy defines the guidelines for the disposal of electronic equipment and components owned by Armstrong Atlantic State University. This policy enforces the Policy on Electronic Equipment Disposal Policy Issued on September 26, 2005 and Revised on October 15, 2006 from the Department of Administrative Services from State of Georgia.
Procedure Reference
Use
The transfer/disposal of all electronic material that store data must be signed by either the President or the Chief Information Officer (CIO). The electronic materials that require signature are computers, external data storage and backup devices, PDAs, copiers that have data storage capability, and other devices that store electronic data.
The transfer/disposal for electronic materials that do not store data does not require a signature for disposal. These items are Monitors,Keyboards, mouse, speakers, printers, scanners, hubs, routers, copiers that do not store data, projectors, pagers, fax machines, type writers, etc.
ITS shall coordinate all transfer/disposal of all electronic materials owned by Armstrong Atlantic State University.
Disposal of Equipment with Data Storage
- ITS will pickup all equipment for preparation.
- ITS will tag all equipment with the "Computer Components Label" shown below.
- ITS will remove all Armstrong identification tags.
- ITS will remove storage media from electronic device (disk drive, cd, tapes, etc.).
- Electronic drives must be degaussed or overwritten with a commercially available disk cleaning program. Hard drives may also be removed and rendered unreadable (drilling, crushing, or other demolition methods).
- ITS will send the electronic drives to Plant Operations. Plant Operations will coordinate with the appropriate Surplus Distribution Center for final destruction.
- ITS will send the equipment designated as electronic scrap to Plant Operations. Plant Operations will send the equipment to the appropriate Electronic Distribution Center for destruction (coordination with Plan Operations).
- Land fills and other non approved disposal centers shall not be used for equipment disposal.
Disposal of Equipment without Data Storage
- ITS will pickup all equipment for preparation.

ITS will remove all Armstrong identification tags.

This equipment may be disposed of by:
- Transferring to another state agency.
- Transferring to a Surplus Center (Through Plant Operations).
- Sold to the public through an established "off-site"sales procedures.
- Equipment designated as scrap must be sent to Plant Operations. Plant Operations will send the equipment to the appropriate Surplus Center for disposal.
